BOOKING CONDITIONS

CONFIRMED BOOKINGS

DEPOSITS: Bookings must be guaranteed with a £250 deposit per room, except for Spa Lodge or Spa Suites where the deposit is £400.

INSURANCE:  We do recommend insurance against cancellations. Gilpin Hotel & Lake House is not affiliated with any insurance company and it is your responsibility to arrange this before your stay.

GROUP BOOKINGS:  A person (or persons) making reservations or causing them to be made is responsible for the booking in its entirety unless that person(s) directs the hotel in writing to confirm that booking to others and to hold them responsible for the booking and any charges in relation thereto. Guests may book up to three rooms together as a group. If a guest or a member of their group books an additional room taking more than three rooms this will be considered as a group booking and we reserve the right to refuse the reservation(s).

CANCELLATIONS

Where cancellations are made for reservations involving 1 or 2 rooms, no charges will be made provided that 14 days’ notice is given of cancellations or amendments of reservation. Any deposits will be fully refunded.

For reservations involving 3 or more rooms, 28 days’ notice is required for any cancellations or amendments. Any deposits will be fully refunded.

All cancellations must be confirmed in writing.

Non-arrivals or reservations that are cancelled or amended within the above cancellation periods will be charged 80% of the booking value. If we are able to re-let the accommodation we would, of course, refund any cancellation fees except for any shortfall.

CLAUSE RE COVID-19:

Where Gilpin Hotel & Lake House cancels any booking as a result of or otherwise in connection with Covid-19 or the Government‘s restrictions and guidelines, it shall be at your option:

i) re-allocate the booking to a future date and retain the deposit; or

ii) provide you with a credit voucher in the amount of the booking, which shall be valid for use within 12 months of the date of issue and failing the use of which within that period, Gilpin Hotel & Lake House shall issue you with a full refund.

TERMS AND CONDITIONS FOR OUR RESTAURANTS:

We do rely on reservations being honoured by our guests or sufficient notice given for any changes, therefore we respectfully ask that 48 hours notice is given should you wish to cancel or amend your restaurant booking.

MICHELIN-STARRED SOURCE AT GILPIN HOTEL RESTAURANT:

Cancellations and amendments within 48 hours of the reservation time will incur a fixed charge of £90 per person for dinner reservations. However, if we can resell the table, we will of course not charge any cancellation fees.

GILPIN SPICE RESTAURANT:

Cancellations and amendments within 48 hours of the reservation time will incur a fixed charge of £40 per person for dinner and/or lunch reservations. However, if we can resell the table, we will of course not charge any cancellation fees.

AFTERNOON TEA AT GILPIN LAKE HOUSE:

Cancellations and amendments within 48 hours of the reservation time will incur a fixed charge of £30 per person for afternoon tea reservations. However, if we can resell the table, we will of course not charge any cancellation fees.

TERMS AND CONDITIONS FOR SPA TREATMENTS:

We kindly request that your preferred spa treatments be confirmed with us no later than 48 hours before your arrival. Failure to do so may lead to us not being able to offer the treatment that you would like. If your treatments are cancelled with less than 48 hours’ notice and we are unable to resell this treatment time, full charge of the treatment will be added to your final bill.

GENERAL

AVAILABILITY: In the rare case that Gilpin Hotel & Lake House cannot accept a booking due to double booking, Gilpin will find guests other accommodation as best as possible in another hotel or guest accommodation. The deposit will be refunded in full and the guests will be responsible for payment of their room to the other accommodators.

ONLINE BOOKINGS: Guests may book up to three rooms online. If a guest or a member of their group books an additional room taking more than three rooms out of the inventory this will be considered as a group booking and we reserve the right to refuse the reservation(s).

CHILDREN: Gilpin Hotel & Lake House welcomes children from the age of 7 years. Not all of our bedrooms can accommodate an extra bed so we ask guests to contact us directly to ensure the room they wish to book can offer this. Additional charges will apply.

SPECIFIC ROOM REQUESTS: Gilpin Hotel & Lake House comprises two converted and tastefully extended private houses and as such each room is individual. We will note any preference you express for a particular room and use our best endeavours to accommodate your wishes, but this may not always be possible and a similar room may be substituted.

BEDDING: All of our beds are made up with feather duvets and pillows, please let us know if you would rather have sheets and blankets on the beds, or if you have a feather allergy and would prefer synthetic bedding.

DOG FRIENDLY ROOMS: We understand how nice it is bringing your dog away with you and being able to walk the Lake District fells and beyond. The Gilpin Hotel has two specific Garden Suites which can accommodate up to two dogs each and will be prepared before arrival with a luxury dog bed, food and treats and a welcome gift. The charge is £30 per dog per night, please contact our Reservations Team on (015394) 88818 for availability. Dogs must be well-behaved, aged 1 year and older, and are allowed in your room and the grounds (on a lead).  Resident’s dogs are welcome in the hotel bar area throughout the day, including breakfast service, and in the India Room in Gilpin Spice during lunch and dinner service. If the India Room is fully booked, our Gilpin Spice team will exercise their discretion and try to accommodate diners in alternative dining areas. Resident guests with dogs who wish to have breakfast in the bar area are kindly asked to inform us in advance so that a table can be prepared accordingly.

ALLERGIES & ALLERGENS:  We take allergies very seriously and list all of the major allergens in each dish on our menus. We cannot guarantee that our raw/fresh/dry products are prepared in a controlled environments where the food handlers are/may be in contact with the 14 main allergens and prone to cross-contamination.

On all of our menus we mark which dishes contain any of the fourteen main allergens listed below, and are very happy to adapt a dish or offer an alternative in case of allergies:
(celery, gluten, crustaceans, eggs, fish, lupin, milk, molluscs, mustard, peanuts, sesame, soybeans, sulphites, tree nuts).

Please note that the below ingredients are widely used in our dishes (particularly in base sauces) so can’t be eliminated:
(bell peppers, chillies, coriander leaves, garlic, ginger, miso, onions, spices, tomatoes).  

Due to the changeable nature of our menus, we can cater for dietary restrictions such as; vegetarian, pescatarian, gluten-free, nut-free and other allergies, provided the kitchen has been given prior notice of at least 3 days. We cannot cater for dairy, lactose-free or vegan diets without sufficient notice.

SMOKING: Gilpin Hotel & Lake House is a non smoking hotel.

VALUABLES: There is a personal safe in all rooms and suites; however the hotel is not able to accept responsibility for your valuables unless left with the Duty Manager who will issue you with a receipt for your items whilst they are held in the hotel safe. We advise you not to leave valuables in your car. Please note that we are not held responsible for loss or damage of valuables or the car.
